About the Role
This role involves the administration of clinical cases as managed through the central ICAS International clinical operation. The incumbent is expected to be a first point of contact for internal and external administrative queries and is expected to facilitate the resolution of such queries by working with internal and external stakeholders and escalating appropriately. The role is firmly embedded within the Spanish clinical operations team and the incumbent will be required to juggle competing demands effectively and communicate clearly with other team members on setting priorities and deliver on demanding deadlines. The role also includes the management of the invoicing process.

The work week runs from Monday – Friday, so the successful candidate will be expected to work 5 days a week from 9am to 6 pm Spanish time zone.

Requirements

  • Support the clinical specialist team by uploading cases on the ICAS system, distributing standardized affiliate communication such as consent forms or evaluation documents
  • Assist clinical specialists with the coordination of ad hoc interventions and ensure the capturing of such events on ICAS systems
  • Assists with the processing of invoices relating to clinical interventions and ensure that invoices and services / sessions invoiced for are aligned to the clinical data in the ICAS systems
  • Effective collaboration with ICAS Finance teams to ensure timeous handling of invoices and correct partner statements
  • Continued engagement with the various clinical teams and ICAS affiliates to ensure that cases are effectively managed
  • Update the current affiliate network, checking who is still interested in belonging our network
  • Recruiting new affiliates for Critical incidents, Case referrals, Contact to book program and In person connected  calendars
  • Working with recruitment agencies and tools such as LinkedIn to identify candidates

Qualifications

  • Suitable qualification in administration or business or similar – a formal degree is desirable but not formally required
  • 3+ years of administrative work experience at a high level of complexity
  • Experience within a client administration or EAP environment, as well as experience working in a diverse and international environment
  • Excellent administrative skills
  • Good English speaking and writing abilities (preferred but not necessary)
  • High level of computer literacy, numeracy and basic understanding of book-keeping
  • Strong time managements skills to deal with multiple demands under time pressure
  • Solid experience in working with complex spreadsheets and ability to adapt quickly to various systems
  • Excellent telephone and email manner
  • Professional and quality orientated approach to work
  • Ability to retain and protect confidential materials
  • Enthusiastic and dynamic
  • Strong customer focus
  • Excellent problem-solving skills
